Programs & Ranks

Programs are the disciplines you teach (Kids BJJ, Adult Muay Thai, Competition Team). Ranks are the belts or levels within a program. Set these up before you add schedules, since attendance and promotions depend on them.

Create a program

  1. Go to Operations → Programs.
  2. Click Add New Program.
  3. Enter the program title and save.
  4. The program opens in edit mode — continue below to define its ranks.

Define ranks

Ranks measure a student's progress. Open a program and click Ranks (also shown as "Rank Management") to add or edit them.

For each rank you can set:

  • Description — the belt or level name.
  • Minimum Days — how long a student must train before earning it.
  • Minimum Attendance — how many classes are required.
  • Max Daily Attendance — how many classes count per day.
  • Degrees — sub-levels (stripes) within the rank.
  • Colors — the belt/stripe colors shown in the app.

New program? A rank template lets you apply a ready-made ladder with one click, then adjust it.

Assign instructors and schedules

From the program's edit page you can:

  • Assign instructors — click Instructors, then add staff.
  • View linked schedules — the program shows any class schedules linked to it.

Record a promotion

When a student has earned their next rank, record it on the student, not the program:

  1. Open the student's profile and go to the Enrollment tab.
  2. Click Change Rank.
  3. Choose the new rank and the promotion date.
  4. Save.

Promotions report

The Reports → Promotions page shows which students are due for promotion, but the promote button there is not active yet. Always record promotions from the student's Enrollment tab.
