Set Up Your Payment Gateway
Connecting a payment gateway lets you charge cards automatically — including auto-renewing memberships. This guide covers the setup and, just as importantly, what it means for your business.
What a gateway unlocks
- Automatic card charges at the point of sale.
- Auto-renewing memberships with a card on file.
- Secure payment links you can email or text to collect a card.
Without a gateway you can still run on manual payments — see Manual Payment Processing.
Before you start
Gateway setup has two prerequisites, both under Settings → Subscription:
- A payment method on file for your academy.
- Wallet auto-reload enabled.
Why these are required
Gateway transactions carry a small platform usage fee that is drawn from your academy wallet. A payment method plus auto-reload guarantees the wallet can cover those fees, so the app blocks gateway setup until both are in place.
Connect a gateway
- Go to Settings → Payments.
- Click Add Gateway (or Add Your First Gateway).
- Choose a provider:
- Authorize.Net — you'll need your API Login ID and Transaction Key.
- Stripe — you'll need your Publishable Key and Secret Key.
- Give the gateway a name and toggle Sandbox/Test Mode if you are testing.
- Enter the credentials for the mode you selected (live or sandbox) and save.
The gateway appears in your list with a Sandbox or Live badge. Your first gateway becomes the default, and only the default gateway's credentials can be edited.
Card processing fee (optional)
If you pass card fees to the customer, enable the Card Processing Fee on the Payments page and set the percentage, fixed amount, and the label shown on receipts.
What this means for your business
- Recurring revenue is hands-off. With cards on file, memberships renew and retry automatically — you spend less time chasing payments.
- Fees have two layers. Your provider (Authorize.Net/Stripe) charges its processing fees, and OpenMatResource draws a small usage fee from your academy wallet. Price your plans with both in mind.
- You can pass card costs on. The optional processing-fee setting lets card customers cover the convenience, or you can keep card and cash pricing separate.
- Start in sandbox. Test a full sale in Test Mode before going live, then add your live credentials.
- You're not locked in. Manual payments work alongside a gateway, so you can take cash at the door and cards online at the same time.
