Set Up a New Academy ​

Welcome to OpenMatResource. This guide walks you through the recommended order to get a brand-new academy ready for students. Follow it from top to bottom — each step builds on the one before it.

Why order matters

Programs and schedules are used by attendance, and billing plans are used by memberships. Setting them up in the order below avoids re-work later.

1. Complete your academy profile ​

Go to Settings → Academy. Add your academy name, address, phone, and logo. This information appears on schedules, receipts, and public pages.

Optional but useful while you are here:

  • Settings → Locations — add each location/venue if you run classes in more than one place.
  • Settings → Taxes & Duties — add a tax region (country/state) if you charge sales tax.

2. Create your programs and ranks ​

Go to Operations → Programs and create one program per discipline you teach (for example, Kids BJJ or Adult Muay Thai). For each program, define its ranks (belts/levels) with the minimum days and class requirements.

3. Build your class schedule ​

Go to Operations → Schedule, create a schedule, and add your weekly class time blocks. Link each schedule to its program, then share the public link on your website.

4. Create membership plans ​

Go to Operations → Membership Plans and create the plans you sell (for example, Monthly Unlimited or 2x/Week). Set the price and billing cycle for each.

5. Choose how you get paid ​

You have two options — and you can start with either:

  • Automated gateway — connect Authorize.Net or Stripe so cards can be charged and memberships can auto-renew. See Set Up Your Payment Gateway.
  • Manual payments — collect cash or check and record payments in the app. No gateway needed. See Manual Payment Processing.

Gateway setup has two prerequisites

Before you can add a gateway, OpenMatResource requires a payment method on file and wallet auto-reload in Settings → Subscription. Both are explained in the gateway guide.

6. Add your students ​

Go to Operations → Students and add each student. See Add Students.

7. Start taking attendance ​

Use the Check In button in the header to open the check-in kiosk. See Take Attendance.

8. Sign students up for memberships ​

Open a student's profile, go to the Billing tab, and start a membership. See Start a Membership.
